• Teacher/administrator data: name, email address, school name and address, job role, phone number (optional), billing details.
• Student data: name and school-issued email address (provided by schools to create login accounts).
• Technical data: IP address, browser type, login times, usage data (for account security and site performance).
2. How do we collect your data?
We collect data in the following ways:
• Directly from you when you register, subscribe, or contact us.
• From your school, when it provides student names and emails for account creation.
• Automatically, when you use our website (cookies and analytics).
3. How will we use your data?
We use your data only to:
• Provide access to our online learning platform (hosted by Thinkific).
• Manage subscriptions and customer accounts.
• Communicate service updates, new releases, and (if you consent) marketing.
• Maintain site security and prevent fraud.
We will never sell your data to third parties.
4. Lawful basis for processing
Under UK GDPR, we rely on the following lawful bases:
• Contract – processing data necessary to deliver our services to schools and teachers.
• Legitimate interests – providing secure, individual student accounts.
• Legal obligation – retaining financial and accounting records.
• Consent – sending marketing communications (you can withdraw consent at any time).
5. How do we store and retain your data?
We store all data securely on company-controlled systems (Google Workspace with encryption and two-factor authentication). Access is restricted to authorised staff only.
Once we receive the details, we will upload them to our online platform (hosted by Thinkific) to create the accounts. The spreadsheet will then be deleted from our files (within 45 days at the latest). All student accounts on the Thinkific platform will be deleted once your contract with us has come to an end (annually on 31 July, unless renewed).

We may send teachers/administrators information about our services and updates, but only if:

• Rectify inaccurate or incomplete data.
